The Best AI Accounting Software for Small Business

Your accounting software is where invoices go out, bills get paid, payroll posts and your accountant files from. Every vendor now says it has AI. We looked at which platforms put that AI to work on the four jobs that eat an owner's time, and what each one really costs a small team.

THE SHORT ANSWERUsable

Yes, the main accounting platforms now use AI to sort bank transactions, match them to your statements, read receipts and bills, and forecast cash. For a small business with a few people in the books, we recommend Xero Growing at $59 a month: it has no per user fees, includes automatic bank reconciliation and document capture, and forecasts cash 60 days ahead. If your accountant insists on QuickBooks, QuickBooks Online has the deepest AI, but you pay more as you add users.

AI categorization, reconciliation and document capture work in everyday accounting software today, but several announced AI features are in beta or have no US launch date, and a person still needs to review the books each month.

Xero: our pick

Starts at $27/month; Growing $59/month with no per user fees

Best for small teams that want AI reconciliation, receipt capture and cash flow forecasting without paying per user.

Xero is our pick because its pricing fits how small businesses actually run their books: an owner, an office manager and an outside accountant all in the same file. Xero says there are no per user license fees Xero pricing ↗, so a team of three pays the same as a team of one. The Growing plan, at $59 a month, removes the invoice and bill caps of the entry plan and includes automatic bank reconciliation, automated bill entry, Smart Document Capture and a 60 day cash flow forecast Xero pricing ↗.

The AI covers the jobs that matter. Smart Document Capture pulls data from receipts and bills on every plan Xero pricing ↗. At its July 2026 conference Xero announced new skills for JAX, its AI assistant, including real time bank reconciliation, payment follow ups that tailor reminders to each customer, and a bill check that flags unusual amounts or changed bank details before you pay Xero AI announcement ↗. Xero did not say which of these are live in the US, and some are marked coming soon Xero AI announcement ↗, so treat them as a bonus rather than a reason to buy.

Payroll is an add on powered by Gusto at $36 a month plus $6 per employee or contractor Xero pricing ↗. Standard ACH bill payments are free Xero pricing ↗. Avoid the $27 Early plan unless you are very small: it caps you at 20 invoices and 5 bills a month, and auto reconciliation costs $5 extra there Xero pricing ↗. Users rate Xero 4.4 out of 5 from 3,330 reviews on Capterra, with slow email support the most common complaint Capterra Xero ↗.

Why we like Xero

  • No per user license fees, so the whole team and your accountant can log in
  • Automatic bank reconciliation included on Growing
  • Smart Document Capture for receipts and bills on every plan
  • Cash flow forecast from 30 to 180 days depending on plan
  • Payroll through Gusto at $36 a month plus $6 per person

Where Xero falls short

  • Early plan caps invoices at 20 and bills at 5 a month
  • US timing for new JAX AI features is unclear
  • No free trial listed, only an intro discount
  • JAX is not tied to a specific plan on the pricing page

QuickBooks Online: most AI features

Starts at $38/month for 1 user; $85/month for 3 users

Best for businesses whose accountant uses QuickBooks and who want the widest set of AI tools in one place.

QuickBooks Online has the longest list of AI features of any platform we compared, and they grow with each plan. Simple Start ($38 a month, 1 user) includes expense categorization, task automation in beta and a limited AI chat about your numbers, also in beta QuickBooks pricing ↗. Essentials ($85 a month, 3 users) adds an accounting cleanup AI, a payments AI for faster collection and quarterly tax estimates QuickBooks pricing ↗. Plus ($140 a month, 5 users) adds automatic categorization and verification of transactions, anomaly detection, sales tax discrepancy checks and scenario planning QuickBooks pricing ↗.

Intuit describes these tools as a team of AI agents. Its Accounting Agent handles routine bookkeeping, and when a bank transaction is unclear it asks you or your accountant and then updates the entry Intuit AI agents ↗. A guide published by a competing product says users still report fixing miscategorized transactions Carly blog ↗, so keep reviewing the agent's work.

The catch is cost per user. One person fits Simple Start, but a team of three needs Essentials at $85, and the strongest automation sits on Plus at $140 QuickBooks pricing ↗. New customers were offered 50 percent off for three months, and every paid plan has a 30 day free trial QuickBooks pricing ↗. Payroll is offered at checkout, but its price is not shown on the pricing page QuickBooks pricing ↗. On Capterra, QuickBooks Online holds 4.3 out of 5 from 8,518 reviews, and high and rising subscription costs are the top complaint Capterra QuickBooks ↗.

Why we like QuickBooks Online

  • Widest range of AI tools, from categorization to anomaly detection
  • Accounting Agent follows up on unclear transactions
  • Two accountant seats on every paid plan
  • Most US accountants already know it
  • 30 day free trial

Where QuickBooks Online falls short

  • User limits push teams to pricier plans
  • Several AI features are labeled beta
  • Payroll price not shown on the pricing page
  • Rising prices are the top user complaint

Zoho Books: budget pick

Free under $50K revenue; Standard $15/month billed yearly or $20 monthly

Best for cost conscious businesses that want a full accounting platform with an AI assistant for about $20 a month.

Zoho Books gives a three person team real accounting for very little. The Standard plan costs $15 a month billed yearly for three users, with bank feeds, sales tax tracking, 1099 filing and 200 receipt autoscans a month Zoho Books pricing ↗. Billed monthly it is $20 StackScored Zoho Books ↗. Professional, at $40 a month billed yearly, adds inventory, multi currency, project profitability and five users Zoho Books pricing ↗.

Its AI is practical. Zia, the built in assistant, answers plain English questions about your books and can act on the answers, such as sending payment reminders or categorizing bank statement lines Zoho Books features ↗. Machine learning flags unusual jumps or drops in reports, bank rules sort transactions automatically, and receipt autoscan turns attachments into entries Zoho Books features ↗. Zoho also says you can connect Zoho Books to outside AI agents through MCP to create invoices and pull reports Zoho Books features ↗.

The free plan suits very small businesses with revenue of $50,000 a year or less: one user plus an accountant, 1,000 invoices a year and 50 receipt autoscans a month, but no automatic bank feeds Zoho Books pricing ↗. The main tradeoff is that fewer US accountants work in Zoho Books, so ask yours first. It links with Zoho Payroll, Expense and Inventory if you want more of the Zoho family Zoho Books features ↗.

Why we like Zoho Books

  • Three users for $15 a month billed yearly
  • Zia assistant answers questions and takes actions
  • Anomaly detection and bank rules
  • Free plan for businesses under $50,000 revenue
  • Connects to outside AI agents through MCP

Where Zoho Books falls short

  • No bank feeds on the free plan
  • Fewer US accountants use it
  • Monthly billing costs a third more than yearly

Digits: aI native pick

Starts at $65/month, no per seat fees

Best for growing US businesses that want the AI to keep the books and only ask about the hard cases.

Digits is built around AI rather than adding it later. It categorizes and reconciles around the clock on every plan Digits pricing ↗, gives each categorization a confidence score, posts high confidence entries on its own and sends uncertain ones to a review queue that learns from your fixes Digits help center ↗. Digits reports 97.8 percent categorization accuracy in a 2026 evaluation of 2,000 transactions Digits help center ↗; that is the company's own figure.

Essentials costs $65 a month and Core, which adds dimensional accounting and automated schedules, costs $100 Digits pricing ↗. There are no per seat fees and no setup fees, and there is a 30 day free trial Digits pricing ↗. Every plan includes bill pay, invoicing, roles and permissions, Ask Digits, a chat assistant, and a developer API with MCP access Digits pricing ↗. It connects to more than 12,000 banks, cards and payroll providers Digits pricing ↗.

Know the limits. Digits serves US entities only, each business or location needs its own subscription, and the Pro plan with budget versus actuals was listed as coming soon Digits pricing ↗. It does not run payroll itself; it connects to your payroll provider Digits pricing ↗. Expect more review in the first month or two while it learns your books Digits help center ↗.

Why we like Digits

  • Confidence scores and a review queue for unsure entries
  • Automated reconciliation that flags exceptions
  • No per seat or setup fees
  • API and MCP access on all plans
  • 30 day free trial

Where Digits falls short

  • US entities only
  • Costs more than mainstream tools at entry level
  • No built in payroll
  • Accuracy figures come from the vendor

Who this is for

This guide is for small business owners choosing the accounting platform they will run their books in, or deciding whether to switch. That is a bigger decision than adding an AI helper. The platform is where you send invoices, pay bills, run or connect payroll, track sales tax and hand year end numbers to your accountant, so we judged each one as a whole system first and on its AI second.

If you are happy with your current software and only want to cut the hours spent sorting transactions, read our AI bookkeeping software guide instead. That guide is about automating bookkeeping work, including tools that sit on top of your ledger. This one is about which ledger to live in, and it weighs things that guide does not: what three users really cost, payroll options, accountant access and cash flow forecasting.

If you are a QuickBooks user mainly upset about price, our QuickBooks alternatives guide goes deeper on migration and cost per user.

Why you should trust us

We read each vendor's pricing, product and help pages, rechecked the main prices on October 12, 2026, and read independent user reviews on Capterra. Where a figure comes from the vendor, such as an accuracy rate, we say so. Every fact links to its source.

No vendor paid for placement, and we have not tested these products hands on. We compared what each vendor publishes and what users report.

How we picked

We started with nine products sold as AI accounting or bookkeeping tools and kept only full accounting platforms, the kind you can run your books in. Capture tools such as Dext and Hubdoc, and AI bookkeepers such as Booke AI, sit on top of a ledger, so we cover them below as add ons.

We then scored each platform on four AI jobs and on the basics a small team needs.

  • AI categorization of bank transactions, with a way to review unsure ones
  • Automatic bank reconciliation, and which plan includes it
  • Receipt and bill capture that creates entries for you
  • Cash flow forecasting or AI answers about your numbers
  • Real monthly cost for one user and for three users
  • Payroll built in or as a priced add on
  • Accountant access and how many US accountants use it

What it costs a three person team

Take a business with an owner, an office manager and a part time bookkeeper, plus an outside accountant, paying monthly at list price. Xero Growing is $59 a month, or $708 a year, because there are no per user fees Xero pricing ↗. QuickBooks Online needs Essentials for three users at $85 a month, or $1,020 a year, and $1,680 a year if you want the stronger AI on Plus QuickBooks pricing ↗. Zoho Books Standard is $20 a month billed monthly, or $180 a year if you pay yearly Zoho Books pricing ↗ StackScored Zoho Books ↗. Digits Essentials is $65 a month, or $780 a year, with no seat fees Digits pricing ↗.

Payroll changes the math. For five employees, Xero's Gusto payroll adds $36 plus $30, or $66 a month Xero pricing ↗. QuickBooks does not show its payroll price on the pricing page QuickBooks pricing ↗, so ask for a quote before comparing. Intro offers also shift the first year: QuickBooks offered 50 percent off for three months QuickBooks pricing ↗ and Xero 80 percent off for three months Xero pricing ↗, but both revert to full price.

What AI accounting software can and can't do today

It can sort and match. Every pick categorizes bank transactions and reconciles them against your statements, at least on the right plan QuickBooks pricing ↗ Xero pricing ↗ Zoho Books pricing ↗ Digits pricing ↗. The better ones tell you when they are unsure: Digits uses confidence scores Digits help center ↗, and QuickBooks' Accounting Agent asks follow up questions Intuit AI agents ↗.

It can read paperwork. Xero and Zoho Books both turn receipts and bills into entries Xero pricing ↗ Zoho Books features ↗. If paper is your biggest pain, an add on like Dext, which says it extracts line items with over 99 percent accuracy, can feed any of these platforms Dext ↗.

It is weaker at judgment. AI will not decide how to treat a new loan, a mixed personal purchase or a sales tax question across states. Digits says plainly that it does not answer tax or legal questions Digits help center ↗. Keep your accountant for year end and anything unusual.

Before you sign up

Ask your accountant which platform they prefer and whether they will pay for or provide their own access. Then run a real month through a trial: connect your main bank account, upload ten receipts, and see how many transactions the AI sorts correctly without help.

In a demo, ask which AI features are live in the US today and on which plan, how the software shows a transaction it is unsure about, and what happens to your data if you leave. If you are switching from QuickBooks, Xero says its conversion partner moves your current and prior fiscal year for free Xero conversion ↗.

  • Check which plan includes auto reconciliation and receipt capture
  • Count users, including your accountant, before comparing prices
  • Price payroll separately and get a written quote
  • Test AI categorization on a real month of transactions
  • Ask which announced AI features are live in the US
  • Review the AI's work every month for the first quarter

What to look forward to

The direction is clear: the platforms want the AI to do the bookkeeping and ask you only about exceptions. Xero has announced real time reconciliation and pre payment bill checks Xero AI announcement ↗, Intuit is adding agents for sales tax, projects and finance views Intuit AI agents ↗, and Digits and Zoho Books already let outside AI tools work with your books through MCP Zoho Books features ↗ Digits pricing ↗.

We will update this guide as announced features ship in the US and as independent reviews of the new AI agents appear.

The competition

WaveFree; Pro $19/month

Wave's Starter plan is free with unlimited invoices, bills and bookkeeping records, and Pro at $19 a month adds automatic bank import and categorization, unlimited receipt capture and late payment reminders Wave pricing ↗. Its pricing page does not mention AI features, so it is a budget ledger rather than an AI platform.

FreshBooksStarts at $23/month

FreshBooks is built around invoicing for service businesses, with Lite at $23 a month and $11 a month for each extra team member, and payroll at $40 a month plus $6 per user, according to Tech.co Tech.co FreshBooks ↗. We found no AI accounting features to compare.

Dext$302.50/year (about $25.21/month) for businesses; firm plans per client, 10 client minimum

Dext is a capture tool, not a ledger. It reads receipts, invoices and bank statements sent by phone, email or WhatsApp and pushes the data into QuickBooks Online, Xero, Zoho and other platforms, and it says it extracts line items with over 99 percent accuracy Dext ↗. Add it if paperwork is your bottleneck.

Hubdoc$12/month

Hubdoc costs $12 a month with unlimited usage and a 30 day trial, and it syncs bills and receipts to Xero or QuickBooks Online Hubdoc pricing ↗. It only captures documents; it does not categorize or reconcile.

Booke AIStarts at $129/business/month

Booke AI works inside QuickBooks Online or Xero as an AI bookkeeper that codes the bank feed daily and asks for missing documents, at $129 per business a month Booke AI pricing ↗. It suits busy businesses and firms that want to keep their current ledger, which is why it fits our bookkeeping guide better than this one.

Questions people ask

What is the best AI accounting software for a small business?

For a small team, we recommend Xero Growing at $59 a month because it has no per user fees and includes automatic reconciliation, document capture and a 60 day cash flow forecast Xero pricing ↗. If your accountant works in QuickBooks, QuickBooks Online has the most AI features, from $38 a month for one user QuickBooks pricing ↗.

Is QuickBooks AI worth it?

It is useful if you are already on QuickBooks. Simple Start includes AI expense categorization and a limited AI chat in beta, and Plus adds automatic categorization and verification and anomaly detection QuickBooks pricing ↗. Intuit's Accounting Agent asks about unclear transactions instead of guessing Intuit AI agents ↗. You still need to review its work, and the strongest AI sits on the $140 Plus plan QuickBooks pricing ↗.

Can AI do my bookkeeping instead of a bookkeeper?

It can do much of the routine sorting and matching, but not the judgment calls. Digits, the most automated platform we compared, still sends uncertain entries to a review queue and does not answer tax or legal questions Digits help center ↗. Most businesses should keep an accountant for year end, taxes and cleanup.

Is there free AI accounting software?

Zoho Books is free for businesses with up to $50,000 in yearly revenue, with one user plus an accountant, but bank feeds start on the paid plan Zoho Books pricing ↗. At monthly list prices: Zoho Books Standard $20 StackScored Zoho Books ↗, Xero Growing $59 Xero pricing ↗, Digits Essentials $65 Digits pricing ↗ and QuickBooks Online Essentials $85 QuickBooks pricing ↗. Payroll is extra on most of them.

Can I switch accounting software without losing my history?

Usually, with some setup. Plan the switch for the start of a month or quarter and keep read access to your old system.
