Best for most small businesses that want AI help inside the software their accountant already uses.
QuickBooks Online is the safe default, and its AI features now reach the entry plan. Simple Start lists at $38 a month for one user plus two accountants, and includes automated bookkeeping, AI expense categorization, invoicing with payments, bill pay with free ACH, and a limited AI chat for questions about your numbers QuickBooks pricing ↗. Its AI is practical rather than flashy. Zia, the built in assistant, answers plain English questions about your books and can act on the results, and machine learning flags unusual spikes or drops in your reports Zoho Books features ↗. Bank rules sort deposits and withdrawals automatically, receipts are scanned into expense entries, and Zoho says you can connect Zoho Books to outside AI agents through MCP to create invoices and pull reports Zoho Books features ↗.
The tradeoff is familiarity. Fewer US accountants work in Zoho Books than in QuickBooks, so check with yours first. It shines if you already use other Zoho apps, since it links with Zoho Analytics, Expense, Inventory and Payroll Zoho Books features ↗.

Who this is for
This guide is for owners of small businesses who do their own books, or who pay a bookkeeper and want that bill to shrink. Think of a salon, a contractor, a consultant, a shop or a clinic with a few staff, one or two bank accounts and a few dozen to a few hundred transactions a month.
If you are a solo freelancer who only sends a handful of invoices, a free plan may be all you need. If you run several entities, carry inventory across warehouses or have a full time finance team, you will want the higher tiers of these tools or a dedicated accountant. Why you should trust us
We read each vendor's pricing page, feature pages and help documents, and checked them all on October 9, 2026. We read company announcements to see which AI features are live and which are only promised, and we read user reviews on Capterra to see what owners complain about after they sign up. Every fact in this guide links to the page it came from.
We have not yet run these tools hands on with real books. Hands on testing is in progress, and we will update this guide with results. Where a number comes from the vendor, such as an accuracy rate, we say so. We pick tools on merit; no company paid to be included.
How we picked
We started with the accounting software most small businesses already use, then added newer tools that put AI at the center. We cut tools that no longer exist or have shaky futures. Bench, once a popular bookkeeping service, shut down suddenly on December 27, 2024, leaving about 35,000 customers unsure about their books until Employer.com bought it days later Accounting Today on Bench ↗. That is a good reminder to pick a company that will be around.
We then scored each tool on these criteria:

- A review step, so the AI asks before it guesses on unclear items

What AI bookkeeping can and can't do today
AI is now good at the boring middle of bookkeeping. It reads your bank and card feeds, guesses the vendor, picks a category from your chart of accounts and learns from your corrections Digits AI docs ↗. It can match bank lines to invoices and bills during reconciliation, read receipts and bills into entries, and send reminders to customers who pay late Zoho Books features ↗ Xero JAX release ↗. QuickBooks and Digits both route unclear items to you rather than guessing silently, which is what you want Intuit AI agents ↗ Digits AI docs ↗.
It is still weak at judgment. AI does not know that a purchase was personal, that a payment was a loan rather than income, or how a tax rule applies to your situation. Digits says plainly that it does not answer tax or legal questions Digits AI docs ↗. Even with strong vendor accuracy claims, a few percent of mistakes across hundreds of transactions adds up by year end. Plan on a short weekly review and a proper monthly or quarterly check by you or an accountant.
Chat assistants are the newest piece. QuickBooks lists an AI chat for insights, Zoho Books has Zia, Digits has Ask Digits, and Xero has JAX QuickBooks pricing ↗ Zoho Books features ↗ Digits pricing ↗ Xero JAX release ↗. They are useful for quick questions like how much you spent on supplies last quarter, but some are labeled beta and limited in capacity QuickBooks pricing ↗. Check numbers against a report before you act on them.
Before you sign up
Switching accounting software is painful, so choose carefully once. Talk to your accountant first, start on a trial with real bank data, and give the AI a month to learn before you judge it.
Watch the fine print on price. Several tools discount the first three months heavily, and QuickBooks and Xero list both a promo price and a regular price QuickBooks pricing ↗ Xero pricing ↗. Budget for the regular price.
- Ask your accountant which software they support and whether they want an accountant seat
- Check that your bank connects; Wave notes that not all institutions are supported Wave pricing ↗

- Keep a separate business bank account so the AI is not guessing about personal spending

Vendors are moving from AI that suggests to AI that acts.
