THE SHORT ANSWERUsable

Partly. AI can already answer routine calls, collect quote information, summarize meetings and pull data from documents, but licensed staff still need to advise clients and bind coverage. For most small agencies we recommend Momentum AMP, an agency management system with AI built in, from $119 a month. If phones are your bottleneck, add an insurance specific AI receptionist like Sonant.

Insurance specific AI tools work today for calls, intake and documents, but many are new, quote only, and need careful setup and oversight.

Momentum AMP

Best for small independent agencies that want one system with AI and published prices.

Momentum AMP, formerly NowCerts, is an agency management system, the database where your clients, policies and renewals live. It has added a set of AI tools that work inside it: a Support Assistant, Report Assistant, Document Scan, AI Voice Agent, Data Discovery and Workflow Agents Momentum AI ↗. Momentum says you can ask it a question, hand it a task or build a workflow and let it run, using your agency's own data Momentum AI ↗.

Its main advantage for a small agency is clear pricing. The AMS starts at $119 a month for one user, $199 for two users and $419 for five users, with extra seats at $54 each Momentum pricing ↗. Momentum Voice, its phone product, starts at $150 a month with 500 minutes, then $0.40 a minute, with unlimited voice agents Momentum pricing ↗. Momentum Rate, for comparative rating, starts at $100 a month for two users Momentum pricing ↗.

Some details are less clear. The pricing page has rows for AI tools and an AI bind proposal generator, but which plans include them was not readable when we checked, and Momentum AI has no separate price listed Momentum pricing ↗ Momentum AI ↗. Ask during your trial; every AMS tier offers a free start Momentum pricing ↗. Hands on testing is in progress; we will update this guide with results.

Why we like it

  • AI assistants, document scan and voice agents inside the AMS
  • Published prices from $119 a month
  • Rating and voice products from the same vendor
  • Free start on every AMS tier

Flaws but not dealbreakers

  • Which plans include AI is unclear
  • Switching your AMS is a big project
  • Voice minutes and seats add cost
Best for phone callsQuote only

Sonant

Best for agencies that miss calls and want quote and service details logged in their AMS.

Sonant is an AI receptionist built only for property and casualty agencies, brokers and distributors Sonant ↗. It answers calls around the clock, transfers callers to your team, books appointments, takes quote details from callers and moves them into your AMS or rater, and writes post call notes Sonant ↗. It speaks multiple languages, even within the same call Sonant ↗.

Its integrations are why we pick it over general receptionists. Sonant lists Applied Epic as a certified vendor integration, plus EZLynx, Momentum, QQCatalyst, HawkSoft, AMS360, Zywave and AgencyZoom Sonant ↗. That means a call becomes a record in your system, not a voicemail someone has to retype.

The downside is price transparency. Sonant shows no prices, tiers or free trial and quotes on a demo call Sonant ↗ CloudTalk comparison ↗. Get a written quote and ask how it charges for minutes and transfers before you commit.

Why we like it

  • Built for insurance agencies
  • Logs quote and service details in your AMS
  • Integrates with Applied Epic, EZLynx, HawkSoft, AMS360 and more
  • Multilingual

Flaws but not dealbreakers

  • No published pricing
  • No free trial listed
  • Requires a demo to get started
Budget pickFree for 25 calls/month; Pro from $150/month

Smith.ai

Best for small agencies that want an AI receptionist with a free plan and per call pricing.

Smith.ai is a general AI receptionist, not an insurance specialist, but it is the easiest way to stop missing calls without a sales process. The Free plan includes 25 real calls a month, then $3 per extra call, plus 25 test calls and 50 simulated calls to try it first Smith.ai pricing ↗.

Pro starts at $150 a month for 75 calls, about $2 a call, with bigger tiers at 150 and 300 calls Smith.ai pricing ↗. The free plan includes native integrations such as Zapier Smith.ai pricing ↗, which you can use to send call details to other apps. It does not list direct AMS integrations, so expect some manual entry compared with Sonant.

For a small agency, a sensible setup is to let Smith.ai answer after hours and overflow calls, collect the caller's name, number and reason for calling, and pass anything about coverage to a licensed agent the next morning. At 25 free calls a month Smith.ai pricing ↗, you can run that for a few weeks and see how many calls you were missing before paying anything.

Why we like it

  • Free plan with 25 real calls a month
  • Clear per call pricing
  • Test and simulated calls before going live

Flaws but not dealbreakers

  • Not insurance specific
  • No AMS integrations listed
  • Per call costs rise with volume
Best free optionFree; Premium $16/user/month billed yearly

Fathom

Best for recording and summarizing client reviews and renewal meetings at no cost.

Fathom records video meetings and writes the summary for you. Its Free plan is free forever and includes unlimited recordings and transcriptions and instant AI call summaries Fathom pricing ↗. For an agent, that means a clean record of what a client was offered and declined in an annual review, which is useful documentation if a coverage question comes up later.

Paid plans add more. Premium is $16 per user a month billed yearly, and Business, at $25 per user a month billed yearly, syncs notes to CRM fields automatically Fathom pricing ↗. Fathom names HubSpot and Salesforce integrations Fathom pricing ↗, but not insurance AMS systems, so you will paste summaries into your AMS yourself. Tell clients you are recording and follow your state's consent rules.

Fathom also connects to ChatGPT and Claude, and offers a public API Fathom pricing ↗, so a tech minded agency can send meeting summaries on to other tools. Most agencies will simply copy the summary into the client's activity notes in their AMS after each review.

Why we like it

  • Unlimited recordings and transcripts free
  • Instant AI summaries
  • Cheap upgrade for CRM sync

Flaws but not dealbreakers

  • No AMS integration
  • Some AI features limited on Free
  • Video meetings only, not phone calls

Who this is for

This guide is for owners and producers at small independent and captive insurance agencies, roughly 1 to 25 people. You might lose new business when calls go to voicemail, spend hours retyping dec pages, or struggle to document client conversations.

We focus on property and casualty agencies, because that is where most agency specific AI tools are aimed today. Life and health agents can use the general tools here, like Fathom and Smith.ai, but some insurance specific integrations will not apply.

Why you should trust us

We read each vendor's pricing and product pages and checked every price on October 9, 2026. Insurance software often hides prices behind demos, and when it does, we say so. Every fact links to its source.

We have not yet tested these tools hands on for this guide. Hands on testing is in progress, and we will update this page with results from realistic calls and service requests. No vendor paid for placement, and our picks were chosen on merit.

How we picked

We looked at the jobs that eat an agency's day: answering phones, quote intake, service requests, document handling and documenting client conversations. Then we looked for AI tools that do those jobs today and connect to the systems agencies already use.

We weighed AMS integration heavily. An AI tool that leaves data in its own app just creates retyping work. We also preferred published prices, but in insurance software that is rare, so we included a quote only tool where it is clearly the best fit.

  • Does a real agency job today, not just a roadmap
  • Connects to common AMS platforms
  • Hands calls and decisions to licensed staff
  • Published price, free plan or trial where possible
  • Fits an agency of 1 to 25 people
  • Records or logs what it did

What AI can and can't do for an insurance agency today

AI handles the front of the funnel well. Sonant can answer a call at 9 p.m., collect quote details, book an appointment and write call notes into your AMS Sonant ↗. Momentum's AI includes document scanning and assistants that answer questions from your agency's data Momentum AI ↗. Fathom turns a client review into a written summary Fathom pricing ↗.

AI is also good at writing: renewal reminders, coverage explanations in plain English, and follow up emails. A general assistant like Microsoft 365 Copilot Chat, free for eligible work accounts, can draft these with work grade data protection Copilot Chat ↗.

What AI should not do is give coverage advice or bind policies on its own. That needs a licensed agent and creates E&O risk if it goes wrong. Momentum's InsuranceAgency.AI product says nothing goes to clients without your approval Momentum AI ↗, and that is the right default for any tool.

Before you sign up

Check the rules for calls. The FCC has ruled that calls made with AI generated voices count as artificial under the Telephone Consumer Protection Act FCC AI voices ↗, so outbound AI calls need the same care as robocalls. Inbound AI receptionists should tell callers they are talking to an AI and follow your state's call recording consent law.

Next, confirm the integration with your exact AMS before signing. Ask the vendor to show a test call landing in your system. And check your carrier agreements and E&O policy for any rules on automated client communication.

  • Confirm your AMS is supported, and how
  • Disclose AI and recording to callers
  • Never let AI bind coverage or give advice
  • Get written pricing for minutes, calls and seats
  • Keep client data in business accounts, not personal ones
  • Review AI call notes for the first few weeks

A simple AI setup for a small agency

You do not need every tool in this guide. Most small agencies get the biggest win from fixing the phones first, then documentation, then everything else. Here is a setup that costs little to try.

Start with a free AI receptionist plan such as Smith.ai's 25 free calls a month Smith.ai pricing ↗ to cover after hours and overflow calls, and measure how many calls it catches. If the volume is real and you want calls logged straight into your AMS, move to an insurance specific tool like Sonant Sonant ↗. Add Fathom's free plan for client reviews and renewal meetings Fathom pricing ↗, and use a business AI chat account, such as Copilot Chat if you are on Microsoft 365 Copilot Chat ↗, for drafting emails. Revisit your AMS only when your contract is up; Momentum is the one we would look at first Momentum pricing ↗ Momentum AI ↗.

  • Week 1: turn on an AI receptionist for after hours calls
  • Week 2: record and summarize client reviews with Fathom
  • Week 3: write a short AI policy for staff covering client data and disclosures
  • Month 2: review call logs and decide whether to upgrade
  • At AMS renewal: compare AI features and integrations

What to look forward to

Agency software is moving from AI assistants to AI agents. Momentum lists Workflow Agents and a separate product with agents for renewals, service requests, new business, billing and reporting Momentum AI ↗. Expect renewal remarketing and service requests to be increasingly handled end to end, with an agent approving the result.

Expect more insurance tools to publish prices as competition grows, and more AMS vendors to build AI in rather than relying on add ons. We will update this guide as prices and features change.

The competition

AgencyZoomFrom $99/month listed (up to 7 users)

AgencyZoom is a popular sales and retention CRM for agencies, with lifecycle automation, automated Google review requests and more than 35,000 users AgencyZoom ↗. Its pricing page lists plans from $99 a month with up to 7 users and a 14 day free trial AgencyZoom pricing ↗. We did not find AI features on its pages, so it is not a pick for this guide.

My AI Front DeskStarts at $99/month ($79/month billed yearly)

My AI Front Desk is a cheaper general AI receptionist; a CloudTalk comparison lists it at $79 a month billed yearly with 200 voice minutes CloudTalk comparison ↗. It is not insurance specific and lacks the AMS integrations Sonant lists.

Microsoft 365 Copilot ChatFree with an eligible Microsoft 365 subscription

If your agency uses Microsoft 365, Copilot Chat is available at no extra cost for eligible work accounts, with prompts covered by the same contract terms as your work email Copilot Chat ↗. It is good for drafting, but it does not answer phones or connect to your AMS.

ChatGPTFree; paid plans start at $8/month (Go, US)

ChatGPT's free plan offers unlimited text chats subject to abuse guardrails ChatGPT pricing ↗, which is useful for drafting coverage explanations. Do not paste client policy details into a personal account; use a business plan instead.
