Best for nonprofits that want email, documents and AI at no cost.

Google Workspace for Nonprofits is $0 per user and includes email on your own domain, video meetings for up to 150 people, and 100 TB of storage shared across the organization Google Workspace for Nonprofits ↗. In June 2025 Google added the Gemini app and NotebookLM to that free edition, for up to 2,000 staff or volunteers, along with more than ten other no cost AI features such as NotebookLM Audio Overviews and Gemini Deep Research Google blog ↗.

How we picked

We built a toolkit rather than naming one tool, because no single product covers writing, design and grant research well. For each job we picked the tool with the best mix of usefulness, nonprofit price and data protection.

What AI can and can't do for a nonprofit today

AI is good at first drafts: grant narratives from your past proposals, donor thank you letters, newsletters, social posts and meeting summaries. Tools like NotebookLM and Claude can answer questions from your own documents, and grant tools like Grantable and Instrumentl add funder research and deadlines Google blog ↗ Grantable pricing ↗ Instrumentl pricing ↗.

The gains are often smaller than the hype. The 2026 Nonprofit AI Adoption Report found 92% of nonprofits use AI, but only 7% report major improvements, and 81% use it individually and ad hoc rather than in shared workflows NonProfit PRO ↗. Among non users, 48% cite lack of training NonProfit PRO ↗. The lesson: pick a few tools, agree how the team uses them, and write it down.

AI cannot replace relationships with funders and donors, and it can make up facts and statistics. Check every number in a grant draft against your own data before you submit.

A practical way to start is to pick three repeat jobs and build a routine for each. For grants, keep a folder of your best past proposals, budgets and outcome data, and load it into NotebookLM, Claude or Grantable so drafts reuse your real language and numbers Claude for Nonprofits ↗ Google blog ↗ Grantable pricing ↗. For donor stewardship, write a short prompt that includes your organization's voice and a recent program story, then have AI draft personal thank you notes that a staff member edits and signs. Then share what works. The adoption report found only 4% of nonprofits have documented, repeatable AI workflows NonProfit PRO ↗. Saving your best prompts in a shared document, and showing new staff and volunteers how to use them, is the cheapest way to move from occasional use to real time savings.

Before you sign up: discounts, eligibility and donor data

Most programs verify your status first. Have your registration documents and an email on your organization's domain ready.

Protect donor and client data. The adoption report found nearly half of nonprofits have no formal AI policy, which leaves staff unsure what data they can paste into a tool NonProfit PRO ↗. Use team or business plans with admin controls rather than personal accounts, and set a short policy covering what may and may not be shared.

What to look forward to
