AI AND YOUR JOB · CHECKED OCT 2026
Will AI replace legal secretaries?
Partly. Practice software now drafts invoices and client updates, pulls deadlines out of court orders and turns recordings into rough transcripts, AI receptionists answer routine calls, and BLS says AI lets more lawyers prepare their own documents. Legal secretary jobs are projected to fall 5 percent from 2025 to 2035, but the person who catches a wrong deadline, protects client secrets and keeps the office running is still needed.

Task by task: what AI can do today
The core tasks of the job, from the US Labor Department's O*NET profile (43-6012.00). Each verdict links to its evidence.
| Task | Verdict | Tools doing it | Why |
|---|---|---|---|
| Prepare and send invoices to bill clients | AI does this today | Clio | Clio Manage generates draft invoices from logged time automatically and routes them to the right approver with reminders, so the job shrinks to checking entries before they go out. [4] |
| Schedule appointments and docket court dates | AI helps, you check | Clio | Practice software extracts deadlines straight from court documents and creates calendar events and tasks, but a missed date can cost a case, so you still check each one against the order and local rules. [4][5] |
| Prepare and proofread summonses, subpoenas, complaints and motions | AI helps, you check | Clio | Legal AI drafts memos, motions and client letters, but captions, service details and filing rules must be right on every page, and the attorney signs off. [5] |
| Draft and type office memos | AI helps, you check | Clio, ChatGPT | A chatbot or practice tool turns a few bullet points into a clean memo, but you know which partner wants it short and what must not go in writing. [5][8] |
| Attend client interviews, hearings and depositions and take notes | AI helps, you check | ChatGPT, ChatGPT Record | AI transcription produces a rough deposition draft within 24 hours and meeting tools summarize what was said, but you need consent to record and an ear for what matters to the case. [6][7] |
| Search legal databases for relevant laws and court decisions | AI helps, you check | Lexis+ AI with Protégé, Westlaw AI | Legal research AI answers in seconds, but Stanford researchers found leading tools still gave wrong information on 17 to 34 percent of test questions, so every cite gets pulled and read. [9] |
| Organize and maintain case files, documents and the law library | AI helps, you check | Clio | Clio can suggest document and file names when a new matter is opened, but deciding what belongs in a privileged file and what gets retained is still a person's job. [4] |
| Complete forms such as accident reports, courtroom requests and client applications | AI helps, you check | ChatGPT | AI can fill a form from a template and attached records, but a wrong date of birth or case number on a court request is your problem to catch. [8] |
| Receive and place phone calls | AI helps, you check | Smith.ai | AI receptionists such as Smith.ai answer routine calls, qualify new clients and book appointments, but about a quarter of AI answered calls still need a person, and upset callers need someone who will not give legal advice or leak client details. [14] |
| Help attorneys collect employment, medical and other records | AI helps, you check | Tavrn | Retrieval services like Tavrn fill in HIPAA request forms and send automatic follow ups to providers, but you still get the client's signed authorization and chase the offices that stall. [15] |
| Send legal correspondence to clients, witnesses and court officials | AI helps, you check | Clio | Clio Manage turns matter activity into drafted client updates, but picking the right delivery method and proof of service for each recipient is still a rules and accountability call. [4] |
| Pass research and articles to attorneys for review | Still human | None | Knowing what a busy attorney needs to see today and what can wait comes from working with them every day. |
| Make travel arrangements for attorneys | AI helps, you check | Navan | Navan says its AI agent handles flight rebookings and hotel changes and resolves more than half of support requests on its own, but reshuffling trial travel around continuances and witness schedules still needs you. [16] |

Quick questions
Will AI replace legal secretaries?
It is shrinking the job but not ending it. BLS projects legal secretary employment to fall 5 percent from 2025 to 2035, from 157,600 jobs [2], and says AI and digital tools let more staff prepare their own documents [2]. BLS projections reported by O*NET still show about 19,600 openings a year, mostly from people leaving the field [3].
What AI tools do legal secretaries use?
Clio Manage drafts invoices, client updates and calendar entries from court documents [4] [5], Verbit produces AI rough transcripts of depositions within 24 hours [6], ChatGPT Record transcribes and summarizes meetings [7], and Smith.ai's AI receptionist answers routine calls and books appointments [14]. Many firms still run Westlaw, LexisNexis, CompuLaw and HotDocs alongside these [1].
Can AI calendar court deadlines on its own?
It can extract them, but you should not trust it unchecked. Clio says Manage can pull deadlines directly from court documents and create the events [4]. Legal AI still makes mistakes, with Stanford researchers finding error rates of 17 percent or more in leading legal research tools [9], so docketing staff verify every date.
Is it safe to put client information into AI tools?
Only with care. ABA Formal Opinion 512 says lawyers must assess the risk of disclosing client information, review a tool's terms and privacy policies, and in some cases get informed client consent [10]. Supervising lawyers must also set policies and training so the whole firm follows the rules [10].
Is being a legal secretary a good career in 2026?
It is a shrinking field, so plan a path. Legal secretaries earned a median of $55,570 in May 2025 [2], while paralegals earned $62,890 [11]. Secretaries who master practice software and AI tools, or train up into paralegal or compliance work, are best placed [12].
